The account summary page helps set up collaborators, branding, notifications, and connected apps to your TrustCloud program.

Inviting collaborators

There are different roles that you can assign a new team member to:

  1. TrustShare Admin: This role has access to manage and view content in TrustShare
  2. Auditor: This role can’t manage or change things, but it can view several parts of your TrustCloud. To invite an auditor, please navigate to the Audit Dashboard in TrustOps, select the framework you would like audited, proceed through the self serve workflow that lets you invite and manage your auditors.
  3. Compliance Team Member: Compliance Team Members are colleagues who can view and contribute to your TrustOps. Their responsibilities may include owning a particular set of compliance artifacts, such as systems, controls, and policies, and their access is limited to the artifacts they own.
  4. Risk Admin: Risk Admin is in full control of your team and risk program. This role has unrestricted access to everything TrustRegister has to offer.
    The primary administrators of TrustRegister are typically:
    In startups: CTOs, VPs of Engineering, or Security leads
    In SMBs: Security or Risk leads
    In enterprises: Leadership Teams, Risk Leaders, and GRC Leaders
  5. Risk Owner: Risk owners are responsible for developing and implementing mitigation strategies.
  6. Compliance Admin: Compliance Admins are in full control of your team and program. This role has unrestricted access to everything TrustOps has to offer and, as such, should be reserved for the one or two people in charge of your compliance program.

A step-by-step guide to inviting collaborators:

  1. Go to “My Account” on the left-hand side menu.
  2. Select “Account Summary.”.
  3. Click on the “Invite Collaborator” button.

  4. Enter the new collaborator’s name, email and assigned role.
  5. Click on the “Send Invite” button.

Branding

It’s important to brand your TrustCloud so that all your policies have your organization’s logo, and other organization-related information.

A step-by-step guide to setting up branding:

  1. From the left-hand side menu, go to the “Admin” tab. 
  2. Select “Branding”.
  3. From this page, you can add your organization’s logo by ‘Drag and Drop’ or by ‘Browsing to Upload’. You can also add your organization’s icon in the same way.
  4. Scroll down to the Policy Documents section, and you have the option to add your logo to your policies as well. Additionally, you can enable the add a watermark function to your documents.

Notifications

TrustCloud has two types of notifications:

  1. In-app notifications, which you can view by clicking the notification icon (which resembles a bell) in the top corner of the page.
  2. Email Notifications: You can choose between receiving all email notifications, weekly digests (Sent every Monday), or no email notifications.

Step by step guide to setting up Notifications:

  1. Go to the “My Account” tab on the left-hand side menu.
  2. Select “Notifications”. 
  3. Set one of the following to receive notifications via email
    1. All email notifications
    2. Weekly digests only
    3. No email notifications

Slack

With TrustHQ™ for Slack, you can:

  1. Keep your compliance and risk programs up to date by viewing tasks, due dates, and action items.
  2. Reduce company risk by gaining insight into the top issues, like evidence refreshes, control failures, and test reports impacting your TrustCloud program through AI curated ‘now’ tasks
  3. Accelerate security reviews by viewing access request to TrustShare and answering outstanding security questionnaires
  4. Track progress and showcase all the work you have completed on Slack towards your security, risk, and compliance requirements via dashboards via the TrustCloud BI dashboards

Direct Notifications to Task Owners

Once setup each task owner in TrustCloud will receive an individual message via the TrustCloud Slack app with details on the tasks due, a quick link to begin the task, as well as key data points like due date, task type, along with any external ticket links. Users will also be able to view all their completed tasks via the TrustCloud Slack app’s home page.

Channel Notifications

TrustCloud sends a wide variety of notifications to the selected channel of your choice. These notifications are:

  1. TrustShare portal invitation acceptance and artifact download
  2. TrustShare access request approval
  3. Completed security questionnaires
  4. Completion of ‘Now’ and ‘Later’ priority tasks in TrustOps

You can also login to your TrustCloud.ai account and leverage the following steps.

  1. Login in to your TrustCloud program and navigate to your “Account Summary” page.
  2. Click on the “Admin” tab on the left-hand side menu.
  3. Select “Connected Apps” menu item.

  4. Go to the “Communication” section.
  5. Click on “Connect” button to link your TrustCloud account with your Slack workspace.

  6. Once you have selected “Connect”, you will be redirected to give TrustCloud permission to access your Slack workspace. Click on “Allow” to authorize TrustCloud and connect to your Slack workspace!

  7. Once connected, you can select the channel that you would like TrustCloud to send notifications to by clicking “Select Channel”.

  8. You have the option of choosing any public of private Slack channel in your company Slack workspace to receive TrustCloud notifications.
    TC Select Slack ChannelThe drop down will allow your to select any public channel whereas to add a private channel, you will have to navigate to that channel in Slack, add TrustCloud to that channel (@TrustCloud) and then leverage the /trustcloud subscribe command to get started. This will update the channel settings in the connected apps page as well.

Important Callouts for Slack:

  1. In order for task owners to receive tasks via Slack, please make sure the user account email in TrustCloud is the same as the user account email for the Slack workspace. A mismatch in email will not deliver notifications and tasks as designed
  2. Currently, only one TrustCloud account can be connected to a single Slack workspace. If you have multiple TrustCloud accounts, contact us.

Jira 

Link Tasks to Jira

TrustOps tasks can also be linked directly into Jira! In order to get started, make sure that you have properly configured your Jira integration via the integrations page.

Creating a Ticket in Jira

TrustOps tasks can be linked to Jira in two ways. The first is automatic ticket creation, and the other is manual ticket creation.

Automatic Ticket Creation

Ticket creation with Jira can be fully automated with TrustOps. Any user can choose to create all their tasks automatically in Jira. To create a ticket in Jira automatically, you need to change a few settings. Once this setting is enabled, any task that is assigned to a particular user will be created in Jira.

To enable automatic ticket creation

  1. Navigate to “Admin” tab in the left-hand side menu.
  2. Select the “Connected Apps”.
  3. Navigate to the Task Management section to configure automatically creating tickets in Jira for selected projects.

  4. Click on the “Configure” button.
  5. Select Project, Issue Type, Reporter and Assignee.

  6. Click on “Complete”. Now, if any task is assigned to you, it will be automatically created in Jira.

Manual Ticket Creation

If automated ticket creation is not required, tickets can be created manually in Jira via the standard task flow. 

To create a ticket manually

  1. Navigate to any of the tasks in TrustOps.
  2. Click on the “Create Issue with Jira” button.

  3. Enter key details such as Project, Issue Type, Reporter, Assignee, Summary, and Description.

4. Click on the “Create Issue” button.

5. You can check the “Tickets” tab of the task to see the tickets linked to that particular task. It shows the current Status, Assignee, and Priority level. As TrustOps-Jira integration is bi-directional, changes made to the ticket in Jira will be reflected in the corresponding TrustOps task.

6. You can also unlink the task directly from this page by clicking on the “Unlink” button.

NOTE:

TrustOps does not support pushing tickets into Private Jira projects or into Projects that are hidden by the Jira administrator.

TrustOps does not support the customization of fields or requirements that change by project type.

Salesforce or HubSpot

If you are using TrustShare, you can connect to Salesforce or HubSpot to track the value of your opportunities in progress. To connect your TrustCloud to your CRM tool,

  1. Navigate to “Admin” tab in the left-hand side menu.
  2. Select the “Connected Apps”. 
  3. Click on “Connect” on the CRM platform utilized by your company (Salesforce or Hubspot).

Upon selecting “Connect”, you will be redirected to log into your CRM tool. Once logged in, the connection will be complete! You will now be able to pull opportunity related data directly from your CRM tool into TrustShare!

  • Website
